Privacy in your home matters
Providing housekeeping can involve information that deserves particular care: your address, access arrangements, keys, alarm instructions, details about when you are away, pets and emergency contacts. We will only use information for legitimate purposes connected with providing and managing our services, meeting legal obligations and running the business.
1. Who is responsible for your information?
Cheshire Housekeeping Services Ltd (company number 17452885), registered office 88 Wistaston Road, Crewe, Cheshire, CW2 7RE, is responsible for deciding how and why personal information covered by this notice is used and acts as the data controller where UK data protection law applies. Privacy enquiries may be sent to info@cheshirehousekeepingservices.co.uk.
2. Information we may collect
Depending on how you interact with us, we may collect your name, address, email address, telephone number, service and booking details, correspondence, quotations, invoices and payment status. We may also record relevant property instructions, preferred visit times and information needed to manage an enquiry, booking or complaint.
Where needed to provide an agreed service, we may hold access information such as keyholding records, key-safe or alarm instructions, and information about pets, emergency contacts or periods when a property will be unattended.
We aim not to collect information that we do not need. Please avoid giving us sensitive personal information unless it is genuinely relevant to the service or we have specifically asked for it.
3. How we obtain information
We normally receive information directly from you when you contact us, request a quotation, make or change a booking, use our website, pay us, provide access instructions or communicate with our team. We may also receive information from another person acting with your authority, such as a family member, business contact or emergency contact.
4. Why we use personal information
We may use personal information to respond to enquiries; prepare quotations; arrange, provide and manage housekeeping and Home & Away services; allocate housekeepers; communicate about visits; manage keys and access; take payment and maintain financial records; investigate service concerns, incidents, damage or complaints; protect customers, staff and property; maintain business records; and establish, exercise or defend legal claims.
5. Our lawful bases
Under UK data protection law we must have a lawful basis for using personal information. Depending on the circumstances, we may process information because it is necessary to take steps at your request before entering into a contract or to perform our contract with you; because we must comply with a legal obligation; or because it is necessary for a legitimate interest such as operating, securing and improving our services, preventing misuse, managing complaints and protecting our business, customers and staff.
Where consent is the appropriate lawful basis—for example for certain optional direct marketing—we will ask for it and you may withdraw that consent at any time.
6. Keys, alarm codes and access information
We treat access information as particularly sensitive operational information. Where we hold customer keys, we identify them using a controlled reference rather than attaching the full property address wherever practicable. Access details will be available only to people who reasonably need them to provide or manage the service.
Key-safe codes, alarm instructions and similar information will not be used for unrelated purposes. When access information is no longer reasonably required, we will securely delete it or update our records as appropriate, subject to any information we must retain for legal or dispute purposes.
Where we agree to hold keys or access information, we will use controlled records and restrict access to authorised people who need the information for the service. We will only accept keyholding or similar access arrangements where they fall within our current operating procedures and insurance arrangements.
7. Home & Away information
If you use Home & Away, we may need to know dates when the property is unattended, agreed visit schedules, emergency contact details, pet-care instructions and other information necessary to carry out the tasks you request. We will use that information for managing the agreed service, dealing with relevant incidents and protecting people or property.
Please ensure that you have permission to give us another person's details, such as an emergency contact, and tell them that their information has been provided to us.
8. Photographs and incident records
Our staff should not photograph customers' homes for personal use. We may take a photograph where reasonably necessary for a legitimate operational purpose, such as documenting pre-existing damage, an accident, a maintenance concern, the condition relevant to a dispute or evidence needed to investigate a complaint.
We will not use photographs of your home for advertising, our website or social media merely because we provide a service there. We will obtain appropriate permission before using identifiable customer/property material for promotional purposes.
9. Payments
We may process information necessary to record payments, invoices, refunds and amounts due. Where you pay by card, payment processing may be handled by our third-party payment provider, SumUp, under its own privacy arrangements. CHS does not store your full payment-card details.
CHS can accept card payments using SumUp. Card payments are processed through SumUp rather than through this website, unless we specifically provide you with a SumUp payment facility or payment link.
10. Who we may share information with
We do not sell customer personal information. We may share only the information reasonably necessary with authorised employees and, where applicable, trusted service providers that help us operate the business—for example website/hosting, email, accounting, payment, scheduling or secure IT providers.
We may also disclose information where required by law, to professional advisers or insurers where appropriate, or where reasonably necessary to protect legal rights, people or property.
We keep an internal record of service providers that process personal information for us and review appropriate data-protection terms with those providers where required.
11. International transfers
Some technology providers may process or store information outside the UK. If we use a provider that involves an international transfer of personal information, we will ensure an appropriate UK data protection safeguard or other lawful transfer mechanism applies.
Where a supplier involves an international transfer, we assess the transfer and use an available lawful safeguard where required.
12. How long we keep information
We will not keep personal information for longer than reasonably necessary for the purpose for which it was collected, taking account of legal, accounting, tax, insurance and dispute requirements. Different records therefore have different retention periods.
Access codes and information about an unattended property should generally be removed when no longer needed for the service, while invoices and other financial records may need to be retained for longer to meet legal requirements.
As a general guide, enquiries that do not become customers are normally kept for up to 12 months; customer and contract records are normally kept for the duration of the relationship and then for up to 6 years where needed for tax, accounting, insurance or legal purposes; financial records are normally kept for at least 6 years in line with HMRC requirements; access codes and unattended-property information are removed or securely deleted promptly when no longer needed for the service; and complaint or incident records are kept only for as long as reasonably necessary in view of legal, insurance and dispute requirements. We may keep particular records longer where law, an active dispute, insurance requirement or regulatory obligation requires it.
13. Keeping information secure
We will use appropriate organisational and technical measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Measures will be proportionate to the nature of the information and the risks involved.
Employees should only have access to customer information needed for their role and must handle it in accordance with our confidentiality, access and data-protection procedures.
14. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights to ask us for access to your personal information; to correct inaccurate or incomplete information; to erase information; to restrict how it is used; to object to certain processing; and to receive certain information in a portable format. Where we rely on consent, you can withdraw it.
These rights are not absolute and legal exceptions can apply. We may need to verify your identity before acting on a request.
15. Marketing
We will not send electronic direct marketing simply because you used our housekeeping service. Where UK privacy rules require consent for marketing by email or text, we will obtain it unless a lawful exception applies. You can opt out of marketing communications at any time.
Service messages about an enquiry, booking, visit, payment, safety issue or contract are not marketing messages.
16. Website, cookies and analytics
Our website may process basic technical information needed to deliver and secure the site. If we introduce analytics, advertising or other non-essential cookies or similar technologies, we will provide appropriate information and obtain consent where UK law requires it before those technologies are set.
At the date of this notice, the website does not use advertising or non-essential analytics cookies. If we add non-essential analytics, advertising or similar technologies later, we will update this notice and introduce consent controls where required.
17. Children
Our housekeeping website and services are not intended to collect personal information directly from children. Information about children should only be provided where genuinely necessary for managing a service safely and appropriately.
18. Data breaches
If personal information is accidentally lost, disclosed, accessed or altered without authority, we will investigate and take appropriate action. Where the law requires it, we will notify the Information Commissioner's Office and/or affected individuals within the applicable timescales.
19. Complaints about privacy
Please contact us first if you have a question or concern about how we use your information so that we can investigate it. You also have the right to complain to the UK Information Commissioner's Office (ICO), the independent regulator for data protection.
ICO information and contact options are available from ico.org.uk.
